How do you reduce your meetings?

I bet, you have wondered at least once, how many hours your team has wasted in meetings, but did not have the will or the time to really count. Spoiler: it’s probably a big number.

Don’t get me wrong, meetings are very useful, in the right context, like planning sessions or idea pitching, but status updates, for example, are a complete waste of time, if you have the right tools in place.

The typical status update has a bunch of people tied for 30 to 60 minutes taking turn at telling the project manager where they are at… and this is replicated for every project they are involved.

There are 2 main issues with that approach:

  1. While someone else is talking, a team member could be doing something else instead of listening and probably not understating half of it.
  2.  The cost of that meeting is probably very high
So, what is the PM to do to grasp the project’s status? After all, the role of the Project manager should be to remove obstacles to get to the finish line, not adding complexity.

The "Wish list"

As a Project Manager, if I could get rid of meetings, I would in a heartbeat, but I’d need something that allows me to stay up-to-date.

I need to know the task assigned are progressing, I need to know if issues are arising, and I need to be able to predict the outcome well before its due date and on top of that I have to wrap everything around the project mandate where sponsors may have multiple priorities around timeline, budget and scope… and I have to do it for all the projects I am managing.

For me, to be able to get the info I need, without asking each team member, I would need:

There are plenty of Project Management tools out there that can partially satisfy that list, but very few that can check all the boxes.

For a Project manager, the ultimate goal of a status meeting is to be able to produce a status report for the sponsors and this task should not be a complicated feat, but it always is.

If a Project manager could use a tool that satisfies everything in that list, the number of meeting would be reduce dramatically, simply because the information required are readily available, assuming, the team members are diligent in sharing their updates.
