Creating & Managing Templates
Templates give your team a consistent, pre-configured starting point for every project. As a Site Administrator, you define project templates that encode your organization's methodology, and manage the individual schedule, document, and intake form components that are available on your site.
A Project Template is the top-level template — a complete replica of a project that bundles together tab visibility, calendar, gating process, communication rules, and a linked schedule template. Schedule templates, document templates, and intake form templates each exist independently so they can be reused and mixed across different project templates.
| Template Type | What It Covers |
|---|---|
| Project Template | Full project replica: tab visibility, calendar, gating process, communication rules, and a linked schedule template |
| Schedule Template | Reusable task hierarchy and milestone structure, assigned to a Project Template |
| Document Template | Standardized documents available across all projects, assignable to gating deliverables |
| Intake Form Template | Custom intake form structure used when submitting new project requests |
Project Templates
A Project Template is a complete replica of a project. It defines which tabs are visible, which calendar applies, how the gating process is structured, what communication rules are in place, and which schedule template is used. Everything is configured the way you want it before a project manager ever opens it.
Project templates are the foundation of your organization's project methodology. By creating multiple templates, you can define different levels of governance and rigor to match different project scales. A large enterprise initiative might require a full gating process with five stages, formal status reporting, and detailed communication rules. A small internal project might use a simplified two-gate process, a lightweight schedule, and minimal distribution. Each scenario gets its own template so the right structure is applied from day one.
Creating a Project Template
- 1 Go to Site Admin → Templates → Project Templates and click New Template.
- 2 Give the template a descriptive name that reflects the type or scale of project it represents, for example "Enterprise Delivery" or "Small Internal Initiative".
- 3 Configure the template exactly as you want every project created from it to look, the pages that are visible, the calendar, the gating process, the communication rules, and the schedule template. Whatever you set here is what the project inherits.
- 4 Optionally mark one template as Default, this is applied automatically when a blank project is created in Traditional mode.
- 5 Save. The template is immediately available to project managers on the new project screen.
Schedule Templates
Schedule templates define a reusable task hierarchy and milestone structure. Once created, a schedule template is assigned to a Project Template so it is ready when a new project is spun up. You can create as many as needed to reflect different project sizes, methodologies, or delivery approaches.
One schedule template can be designated as the Default, applied automatically when a blank project is created in Traditional style. Schedule templates can also be loaded into an existing project directly from the project's Schedule page.
| Setting | Description |
|---|---|
| Template Name | Shown in the schedule template dropdown during project creation and in project settings |
| Default flag | Only one schedule template can be marked as default at a time |
| Task structure | Phases, tasks, milestones, durations, and dependencies are all preserved in the template |
Document Templates
The Document Templates library holds all standard documents that should be available across your organization's projects. Documents stored here automatically appear in every project's document repository under a read-only Templates folder, ensuring project users can access them but cannot modify the originals.
You can upload any file type or create new documents directly in Completix's native format. Completix-format documents support online editing and co-authoring, and can be exported to Word or Excel. Uploaded Word and Excel files can be converted to Completix format for a better online editing experience.
Intake Form Templates
Intake Form templates define the structure of the form requestors fill out when submitting a new project request. They are managed independently from project templates and can be configured to capture different fields for different types of requests or business units.
| Capability | Notes |
|---|---|
| Custom fields | Text, dropdowns, date pickers, and multi-select fields are supported |
| Required fields | Mark any field as mandatory to ensure complete submissions |
| Multiple templates | Create separate intake forms for different project types or departments |
