The Billing page
As the subscription owner, you manage payment, adjust the number of licenses to match your team, manage optional add-ons, and download invoices, all from one place.
The Billing page is where you keep your subscription in sync with your organization. From here you can review your current plan and renewal date, see how many licenses are in use, add or remove licenses, turn add-ons on or off, update your payment method, and retrieve any past invoice. To open it, go to the main menu, select Site Admin, choose Settings and Billing, then open the Billing tab.
The Billing page opens with a summary of your plan at the top. The navy panel shows your current monthly or yearly cost, your per user rate, the total number of licenses, your renewal date, your billing cycle, and how many add-ons are active. Beside it, the License usage card shows how many licenses are currently assigned to users and how many are still available across your team.
Managing your licenses
Each active user on your site uses one license. The License usage card at the top of the page tells you how many of your licenses are assigned and how many remain available, so you can tell at a glance whether you need to add more before inviting new people.
You cannot reduce your license count below the number of active users on your site. If you want to lower your total, deactivate the users you no longer need first, then remove the freed up licenses.
Add or remove licenses
To change your license count, select Add/remove on the License usage card. In the dialog, use the plus and minus controls, or type directly into the field, to set the total number of licenses you want. The dialog shows your previous total and your new total side by side so you can confirm the cost before applying the change.
When you are happy with the number, select Update licences. The minimum is set by your current active users, shown beneath the field.
For monthly subscriptions, removing a license stops the charge for it on that day, and the proration, a refund for the unused time until month end, appears on your next invoice. For yearly prepaid subscriptions, removing a license does not result in a refund.
Add-ons
Depending on your plan, Completix offers optional add-ons that extend your site with extra features or services. The Available add-ons section lists what you can enable along with the price per user. To turn one on, select Add next to it. Your plan updates automatically and your next invoice is prorated to reflect the change.
For monthly subscriptions, if you remove an add-on you are only charged up to that day, and the proration to month end appears on your next invoice. For yearly prepaid subscriptions, removing an add-on does not result in a refund.
Payment method and billing details
The Payment method card shows the card currently on file, including the card type, the last four digits, the cardholder name, and the expiry date. The Billed to card holds the name and address that appear on your invoices. To update either one, select the pencil icon in the corner of the card and edit the details.
Invoices
The Invoice history section at the bottom of the page lists every payment and receipt on your account. Each row shows what the invoice covers, its date, its status, and the amount. Upcoming charges are marked as Upcoming, and completed ones as Paid.
- Select the download icon on any paid invoice to save a PDF copy.
- Proration lines, such as unused or remaining time after a license change, appear here as their own entries so you can see exactly how a mid cycle change was billed.
Keep an eye on the Upcoming entry to preview your next charge before it is processed, especially after adding licenses or add-ons partway through a billing cycle.
