Timesheets
Log time against projects and tasks you are assigned to, submit for approval, and track your hours across any period. The timesheet period and approval flow are configured site-wide by your administrator.
Accessing Your Timesheet
The Timesheet is available under My Work in the main navigation, via the My Timesheet tab. The view spans the current period and displays a running summary of total hours logged, hours pending approval, and the number of distinct activities tracked.
Three summary cards sit above the grid: Total hours shows the cumulative logged hours for the period with a progress bar relative to your typical capacity, Pending approval shows submitted hours not yet actioned, and Activities shows a breakdown of project vs non-project entries.
Timesheet Periods
The timesheet period is a site-wide setting configured by your administrator. All users on the site share the same period type.
| Period | Description |
| Weekly | Monday to Sunday, new period each week. |
| Semi-monthly | Two periods per month, typically the 1st–15th and 16th to end of month. |
| Monthly | One period per calendar month. |
Use the arrow controls next to the period label at the top of the timesheet to navigate to previous or future periods.
Adding Activities to Your Timesheet
Timesheet rows are not pre-populated. You add the activities you want to log time against manually using the + button in the column header row. This opens a panel with three tabs.
| Tab | What it shows |
| Projects | All projects you are a member of. Projects whose timeline overlaps the current period appear automatically and can also be added manually at any time. |
| Non-project | Non-project activities set up by your administrator (for example, training, admin, or leave). |
| Custom | Free-text entries for time that does not belong to any tracked project or non-project category. |
Logging Hours
Click any cell in an activity row to enter hours for that day. Values are saved automatically. Rows with an effort-based schedule (Scheduled Task) also display the individual task name alongside the project row.
If you cannot see a project you expect to log time against, ask the project manager to confirm that you have been added to the project team and that the project dates are set correctly.
Submitting for Approval
When you are ready to submit your timesheet, use the Submit All button to submit the entire period, or submit individual rows as needed. Once submitted, hours move to a pending state and are locked from editing.
Routing is fully automatic. The site approval policy determines who receives the approval request; you do not need to select an approver manually. Depending on your organisation's policy, approvals may be routed to a project manager, a resource manager, or another designated reviewer.
Approved entries are reflected in project actuals, resource effort calculations, and the Executive Dashboard.
Bulk Actions and Admin Override
Administrators and users with the appropriate permission can action timesheets in bulk using the buttons in the top-right corner of the timesheet view.
| Action | Who can use it | Effect |
| Submit All | Resource (self) | Submits all un-submitted rows for the current period. |
| Approve All | Admin, designated approver | Approves all pending entries in the period. |
| Reject All | Admin, designated approver | Rejects all pending entries; resource can resubmit. |
| Reopen | Admin | Returns approved entries to editable state if a correction is needed. |
Overdue Timesheet Report
To review the status of overdue timesheets across all resources, go to the Executive Dashboard and open the Resources tab. The overdue report lists resources with un-submitted or pending periods, the number of days overdue, and the last submitted date.
