Managing Resource Allocation
Completix lets you allocate team members to projects at the individual project level, then surfaces a unified cross-project view in the Executive Dashboard. This article walks through both: setting allocation on the Project Team page, and reviewing portfolio-wide utilisation in the Resources tab.
Every project has a Project Team tab. This is where you add resources to a project and manage their status, rate, utilization, capacity, cost category, and project role. The view is scoped to a single project and is accessible to anyone with Project Manager rights or above on that project.
Use the + Add Resource button to bring a user from your site directory into the project. Once added, each member gets a utilization pill showing their current allocation percentage on this project. Click the pill to open the full capacity panel for that member.
Setting Allocation via the Capacity Panel
Clicking a member's utilization pill opens the Capacity panel for that person on this project. Here you define one or more allocation periods, each with a start date, end date, and percentage. The calendar on the left reflects the resulting day-by-day allocation, and the summary cards at the bottom show total capacity hours, cost, and average weekly utilization.
Use the + Add Capacity button to create a new allocation period. You can switch between the % and clock views to toggle between percentage and hours input. The Demand and Overlay tabs let you compare capacity against task demand and see how allocations stack against each other.
Cross-Project View in the Executive Dashboard
Individual project allocations roll up automatically into the Executive Dashboard, Resources tab. This is an org-wide list of every user on your site, showing their aggregated utilization across all active projects, total hours allocated, and project count. Executives and Portfolio Managers use this view to spot over-allocation and available capacity at a glance.
Expanding a resource row reveals the full breakdown: every project they are currently assigned to, their role on each, the allocation percentage, actuals, and forecast. Use the Filter button to narrow by department, portfolio, location, or utilization range. Filters stack with AND logic, so combining department and portfolio scopes the data to only members matching both conditions.
The Utilization Popup
Clicking the utilization pill on any resource in the Executive Dashboard opens a Utilization popup showing their day-by-day allocation across all projects combined for the selected month. Each cell value is the sum of allocations from every project that resource is assigned to on that date. A line chart on the right shows the trend across the month.
Cell colours follow the thresholds configured in your Site Settings:

| Amber | 80% to 100% | Fully or heavily booked. Monitor closely. |
| Red | Above 100% | Over-allocated. Immediate attention required. |
| Grey | 0% | No allocation recorded for that day. |
The Effort Report
The Effort report is accessible from the Resources tab toolbar and shows timesheet actuals alongside pending approvals for a selected month and project. The calendar on the left highlights days where hours were logged, and the table on the right lists every team member with their approved hours, approved-to-date total, pending hours, and pending-to-date total.
Use the report to verify that timesheets have been submitted and approved before closing out a month. The Approved TD and Pending TD columns give a running to-date total for the project, making it easy to track effort burn against the forecast.
